Accounting Spreadsheets

Plain spreadsheets with no programming.

Our spreadsheets are provided for use by NZ not-for-profits, and provide very not-for-profit specific functionality. Feel free to download them, and provided you are a NZ not-for-profit,  contact us with any problems.

Rather than organise categories in columns, they use account codes.

The spreadsheets can do the following:

  • Categorise your transactions from up to four bank or cash accounts.
  • Use your own income and expenditure categories.
  • Track expenditure against your grants.
  • Manual journal capability for accrual based income/expenditure figures.
  • Income/Expenditure report for a date range you specify, and Balance Sheet.
  • Some instructions provided.

Open Office Calc-based

Open Office is open-source (i.e. genuinely free) office software that can be downloaded from various sources. There are different versions from different developers, such as Apache, Libre, or just the original (here). This spreadsheet should work with any of them.

  • Cashbook for up to four bank or cash accounts.

  • Grant, budget and project tracking functionalities.
  • Accrual accounting capability (including manual journal).
  • Reports include Income/Expenditure reporting for Committee meetings; End-of-year Statement of Financial Performance, Statement of Financial Position and Cashflow Statement.
  • Required MS Excel 2007 or higher (will not work with any other spreadsheet-based software). Contains Macros (i.e. embedded programmes), which need to be enabled for reporting functions.

Accounting5.1

Conditions of Use

Accounting 5.1 is provided free of charge for New Zealand-based not-for-profit entities only, and by using it you confirm that you use it for not-for-profit purposes only.  The functionality is very specific to not-for-profits.

We are not software developers, and the software is provided on an as-is and use-at-own-risk basis. Community Capacity Accounting developed it to help small to medium not-for-profits with accounting and bookkeeping-related tasks, realising that commercially available accounting software is not designed with NFPs in mind, and generally incurs ongoing costs. If you are a NZ not-for-profit, and require help with Accounting 5.1, please get in touch – as long as you haven’t modified the workbook, there will be no charge.
